3. Patient Registration & Management

Accurate intake sets the foundation for safe prescriptions

1
Open Patient Registration

From the left sidebar, click Patients > Add New Patient.

2
Fill in Patient Demographics & Vitals

Provide standard clinical details to ensure accurate dosage calculations:

  • Full Name, Age & Gender: Crucial for pediatric and geriatric dosing.
  • Mobile Phone: Primary identifier for fast patient lookup on return visits.
  • Blood Group: Recorded for medical safety and cross-referencing.
  • Known Allergies & Chronic Diseases: Helps prevent adverse drug interactions.
3
Instant Patient Search

Whenever the patient returns, simply type their phone number or name in the patient search box on the Prescription Station to autofill their record in 1 second.

4. Prescription Studio (Step-by-Step)

Creating fast, accurate digital prescriptions in seconds

The Prescription Studio is optimized for fast clinical typing during busy outpatient hours:

1. Chief Complaints (C/C)

Enter the primary reasons the patient is seeking consultation (e.g. Fever for 3 days, Sore throat, Dry cough).

2. Clinical Findings & Vitals

Record physical examination data: Blood Pressure (e.g. 120/80 mmHg), Pulse (78 bpm), Temperature (101°F), Weight (68 kg).

3. Investigation Advice

Recommend required diagnostic tests (e.g. CBC, Serum Creatinine, Chest X-Ray P/A view, ECG).

4. Patient Advice & Follow-Up

Lifestyle guidelines, dietary recommendations, and scheduling the next follow-up appointment date.

Upgraded Feature: Seamless Consecutive Medicine Addition

In previous versions, doctors had to scroll back up to re-enter each additional medication. We redesigned this workflow for maximum speed:

  1. Select or type a medicine in the input field.
  2. Select the dosage pattern (e.g., 1+0+1) and duration (e.g., 7 Days).
  3. Click the Add Medicine button.
  4. The medicine is instantly appended to the list, and your input field is automatically cleared and focused ready for your next medicine! You do not need to scroll or re-click.
Standard Dosage Matrix Guide

Standardized notation ensures patient safety and clarity across pharmacies:

Printing Modes: Standard vs. Clinic Letterhead Pad

Smart Prescription BD offers dual printing flexibility depending on your clinic stationery:

Mode 1: Standard Full PDF

Prints the entire page including clinic logo, clinic name, doctor qualifications, chamber address, prescription content, and footer hotline on plain A4 paper.

Button: "Print Full PDF"
Mode 2: No Header/Footer (Letterhead Pad)

Leaves appropriate margins at top and bottom and prints ONLY the patient info and Rx prescription body. Perfect for loading your pre-printed hospital letterhead pads into the printer.

Button: "Print without Header/Footer"

5. Billing, Invoicing & Installments

Transparent clinical revenue tracking and branded PDF receipts

Manage patient accounts seamlessly from consultation through final treatment discharge.

1
Create an Invoice

Navigate to Invoices > Create Invoice. Select the patient and attending doctor.

2
Add Services & Consultation Fees

Add one or more items: Doctor Consultation Fee, Clinical Diagnostic Tests, Procedures, or Medication supplies. Set unit rates, quantities, and apply percentage or flat discounts.

3
Partial Payments & Installments

For extensive treatments, patients often pay in partial installments:

  • Record the initial deposit received at reception.
  • The system automatically computes the remaining Due Balance.
  • Print a partial payment receipt via Partial Invoice PDF for the patient.
  • When subsequent installments are paid, simply click Add Payment on the invoice to update the ledger.
4
Modern Branded PDF Receipts & Watermarks

All invoices feature our modern layout with embedded high-resolution clinic logo, background clinic watermark matching the prescription styling, clean breakdown table, tax/discount lines, status badges (Paid / Partially Paid / Unpaid), dynamic terms & instructions customized via admin settings, and digital signature placeholders.

6. Dynamic Clinic Branding & Content Management

Manage all static text, branding, contacts, and copyright directly from the Admin Panel

Clinic Administrators can customize all static content, branding, and contact details from Settings > Clinic Profile & System Settings. Changes update throughout the entire application in real time:

Clinic Logo & Favicon

Upload custom clinic logos (PNG/JPEG) and browser tab favicons. The system embeds them dynamically in web headers, prescription pads, and invoice receipts. Includes 1-click restore to defaults.

Helplines & System Email

Configure primary emergency hotlines, secondary numbers, and official emails (e.g. [email protected]). Instantly reflected in app headers, footers, and patient PDFs.

Chamber Address & Visiting Hours

Set your physical chamber address and daily consultation timings. Automatically printed on invoices and prescriptions so patients know exact visit locations.

Developer & Copyright Notice

Customize developer company branding, developer links, and global copyright notices across every portal page and printed document.

Invoice Terms & Instructions

Configure custom bullet items and instructions printed at the bottom of patient invoices and receipts. Supports placeholders like {clinic_name}, {clinic_email}, and {clinic_phone}, or line-by-line clinical notices conforming to BMDC standards.

Default Content Seeder Available

The system includes an automatic database seeder (AdminSettingsSeeder) that pre-populates all default static content, baseline contacts, and branding so the application is operational immediately upon setup.

7. Frequently Asked Questions

Quick answers to common clinical and operational questions

Yes. Smart Prescription BD is built as a universal medical system. Whether you run a General Practice, Internal Medicine clinic, Pediatrics, Cardiology, Dentistry, Dermatology, or Multi-specialty Hospital, the diagnosis, vitals, investigation, and prescription engine adapt naturally to any medical specialty.

When opening any prescription view, click the Print without Header/Footer button (or navigate to /prescriptions/{id}/pdf?nohf=1). This hides the digital clinic header and footer, allowing your printer to place the clinical data exactly inside the pre-printed borders of your clinic paper.

Open the Invoices list from the sidebar. You will see an orange "Partially Paid" badge with the remaining due amount clearly displayed. Click Actions > Add Payment to enter the installment amount received. The system will automatically adjust the ledger and generate an updated receipt.

In your browser's Print dialog, set Destination to your clinic printer, select Paper size: A4, set Margins: Default or None, and verify that Background graphics is checked so table borders and badges print clearly.
